Associate -

Capital Markets Dept, Asia Pacific (HKG) - CMA (Planning) 

Job Duties & Responsibilities:

  • Provide comprehensive secretarial and administrative support to Asia Structured Debt Vertical management and department heads and respective team support ensuring the efficient day-to-day operation of the department.
  • Coordinate and arrange schedules for, including meeting setup, venue booking, and logistical arrangements.
  • Support client event invitations and communicate externally to confirm meeting times and agendas.
  • Support the preparation and processing of  reimbursement claims, invoices and other departmental payments, ensuring that the required supporting documents and approvals are properly maintained.
  • Collaborate with support functions and assistants within the HK branch and overseas branches to facilitate internal arrangements and assignments.
  • Liaise with the approved travel agency or booking platform to prepare travel itineraries and obtain management approvals. Support frequent travel for site visits and meetings in Korea, China, and Singapore.
  • Provide administrative support for the onboarding, exit processes of team members and support of overseas visitors including necessary coordination and arrangement. Provide support in departmental initiatives in events such as internal meetings, client engagements, team activities etc.
  • Undertake other administrative, record keeping, operational and ad-hoc duties as assigned by ASDV management and department heads.

Requirements:

  • Bachelor's degree preferred. Candidates with extensive relevant experience and a lower academic qualification will also be considered.
  • Minimum 5 years of relevant experience, preferably gained within the banking or financial services industry.
  • Proven experience in providing secretarial and administrative support to senior management.
  • Strong organizational and multitasking skills with the ability to manage multiple priorities in a fast-paced environment.
  • Highly detail-oriented with a strong track record of handling administrative, operational, and coordination tasks accurately and efficiently.
  • Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Fluent in Cantonese, Mandarin, and English with good interpersonal and communication skills.
